Booking & Payment: Full payment or 50% non-refundable deposit required at booking to secure your slot. Remaining balance must be paid on the day of the event.
Gratuity Policy: An 18% service gratuity automatically added to All-In Event Packages (HST applies).
Guest Count: The total number of participants must be confirmed in advance when booking. Additional guests may be refused entry or charged $59/- a player/hour walk-in rate. Maximum capacity per package strictly enforced. Late additions maybe refused due to scheduling.
Age & Safety Requirements: All participants must meet minimum age 6+ and safety requirements for VR activities and must follow staff instructions at all times. Non-complaint guests will be asked to vacate the premises and are subject to No Refund.
Supervision: Adults (18+) must supervise children at 1:5 ratio (1 adult per 5 kids). Staff supervise VR sessions only; venue not liable for general child supervision. Parents/guardians remain on-site throughout.
Food & Drinks: Designated party area only for food/drinks—Prohibited near VR equipment, PS5 zones, or gameplay areas. Outside food permitted subject to convenience fee. Cake cutting in party area only.
Cleaning Policy: Any excessive mess, including but not limited to throwing food or drinks on the floor, walls will result in an automatic $100/- cleaning fee charged to the booking holder. This fee is non-negotiable and will be applied at staff discretion.
Damage to Property and Equipment: Any damage to VR equipment, furniture, or property caused by guests will be fully billed to the party host – {Replacement/Repair Cost + 20% Admin Fee}. Hosts fully responsible for guest actions.
Behavior Policy: Disruptive, unsafe, or disrespectful behavior will not be tolerated. Management reserves the right to remove any guest without refund. Staff/management may end party early without refund and escort guests out. Alcohol/drugs/Vaping/Cannabis strictly prohibited.
Late Arrival: Arrive on Time - Late arrivals may result in reduced playtime with no refund or extensions. Parties end promptly; overtime charge subject to management discretion.
Cancellations & Rescheduling: All package bookings are non-refundable. Rescheduling requests must be made at least 72 hours in advance. No-shows are non-refundable. 72+ hours notice: Reschedule once (same value, subject to availability). Less than 72 hours Notice: 50% fee; Less 24 hours Notice: full forfeiture and No-shows are 100% non-refundable.
Health & Motion: Guests with medical conditions, motion sickness, or other health concerns should notify staff prior to participation. Participation is at the guest’s own risk. Disclose motion sickness, epilepsy, pregnancy, or heart conditions pre-booking. COVID/other illness policy: No entry if symptomatic; full cancellation fee applies.
Gameplay Safety & Liability: All gameplay is designed with safety in mind, and mandatory safety rules are clearly explained prior to participation. Failure to follow these rules or staff instructions may result in injury, for which the participant assumes full responsibility. The VR arena and its staff are not liable for injuries resulting from rule violations or misuse of equipment.
Force Majeure: Venue not liable for cancellations due to weather, power outages, or unforeseen events; credit issued for rescheduling.
Waivers: All participants under 18 years of age must have a signed waiver completed by a parent or legal guardian. All adults (18+) must sign waiver before entry gameplay commences. Minors <18 - require parent/guardian signature. Refusal to Sign = no VR access (no refunds).
Staff Authority: Management and staff decisions are final regarding safety, behavior, fees, and enforcement of these terms and conditions. Disputes handled by on-duty manager; escalate to owner post-event (no interruptions).
